Meta: Gumroad pays out to Stripe — so why don't the numbers match? The 5-minute monthly reconciliation that finds fee-timing gaps and refund windows before they become tax problems.
Stripe payout reconciliation for Gumroad sellers
If you sell on Gumroad, your money flows Gumroad → Stripe → bank. And at some point you'll compare "Gumroad says I earned $X" to "Stripe says I received $Y" and find they don't match. Usually it's not missing money — it's three accounting realities colliding. Here's how to check in five minutes, monthly.
Why the numbers never match exactly
- Fee timing: Gumroad's 10% + $0.50 is deducted from *your Gumroad balance*, not visible per-deposit in Stripe. You see the net landing.
- Payout schedule: Gumroad pays out on its own cadence; a sale on Jan 31 can land in a Feb deposit. Comparing calendar months = fake gaps.
- Refund windows: refunds hit your Gumroad balance (and future payouts), not the original Stripe deposit. Old refunds, current statement.
The correct comparison
- Gumroad side: net after fees and refunds, for the payout period (Gumroad → Payouts → the export).
- Stripe side: balance transactions (deposits only), same date range.
- Compare like-for-like periods — and expect ±2%, not exact zero, because of timing edges.
The 5-minute monthly check
- Export Gumroad payouts CSV + Stripe balance transactions CSV.
- Compare totals for the same period.
- Difference under 2% → reconciled (that's timing noise — note it and move on).
- Difference 2–10% → look at pending payouts and recent refunds first.
- Over 10% → you're comparing different periods, or a payout failed — check Stripe's payout list for a "failed" entry.
Manual version: spreadsheet, 15 minutes. Free version: our Gumroad → Stripe reconciler does it in your browser — upload two CSVs, get the report, nothing leaves your computer.
What most sellers miss
Reconciliation is a tax habit, not a bookkeeping chore. When you can explain every dollar between "dashboard said" and "bank received," your quarterly tax estimate stops being a guess — and your accountant stops charging you to reconstruct six months of payouts. Monthly check = 5 minutes. Yearly reconstruction = half a day.
When to automate the whole loop
The weekly version of this — auto-syncing sales into a sheet and spotting anomalies while they're small — is what the Seller Ops Digest pack automates ($39, free tiers to run). Reconciliation monthly, digest weekly, and the "where did the money go" question stops ever being a question.
