Meta: n8n explained for freelancers: what it does, how it compares to Zapier, whether you need to code, and the three automations worth starting with.
What is n8n? The freelancer's guide
n8n is an automation tool: it connects apps — Gmail, Sheets, Slack, your CRM — and moves data between them on triggers or schedules. Think "if this happens in app A, then do that in app B," except far more powerful than the IFTTT-style version, and open source. If you keep hearing the name and nodding along, here's the plain-English version.
The three things to know
- It's workflow software with a visual canvas — you drag nodes (apps/actions) and connect them. "Gmail trigger → Google Sheets → email me" is four boxes and three lines.
- It's open source — the code is public, you can run it yourself for $0 (Docker, ~1 GB RAM), or use n8n's hosted cloud (free tier exists).
- It's the Zapier alternative that doesn't meter you to death — for a freelancer's volume, free is usually enough (see the free-tier limits guide).
Do you need to code? No — mostly
The canvas handles 90% of use cases without code. Two places code creeps in: parsing messy data (a small "Code" node with 3 lines of JavaScript) and fixing things when APIs change (copy-paste from the community). The Gmail → Sheets guide is a full beginner build with zero code.
Zapier vs n8n in one table
| | n8n | Zapier | |---|---|---| | Price for solo use | $0 (self-host) / free cloud tier | Free tier is very limited; paid from ~$20/mo | | Visual builder | Yes | Yes | | Code/data control | High (open source, self-hostable) | Limited to plan features | | Time to first automation | ~30 min incl. learning | ~15 min | | You own your automations | Yes | No (platform-dependent) |
Zapier wins on speed-to-first-automation and polish; n8n wins on cost, control, and volume. For a freelancer automating their own back-office: n8n is usually the right long-term answer.
The three automations worth starting with
- Lead capture: Gmail label → Sheets row (never lose an inquiry).
- The follow-up: quote sent → reminders/emails at day 3/7/14 until the client replies.
- The digest: one weekly email with your sales/leads/reports instead of six dashboard visits.
Numbers 1–2 together are literally the Follow-Up Autopilot pack ($39) — importable workflow, templates, 20-minute setup on free tiers. Or build them yourself with the guides above; n8n rewards the hour you invest.
The honest caveat
Automations need a monthly checkup: expired logins and API changes break things silently. Budget 20 minutes a month. That's the real price of "free" — and it's still cheaper than the subscription you'd otherwise pay forever.
